Retrospective for 27 July–2 August 2026.
A prospect clicks an ad, asks a question on Instagram and disappears. Another person messages the business on WhatsApp, receives a correct answer, but never gets a call back. In both cases, the problem may not be the response itself. It is the gap between the conversation and the sales team’s next action.
During its 29 July 2026 earnings follow-up call, Meta described agents connected to catalogues, CRMs and inventory, alongside an initial rollout to Instagram Direct. This shows a product direction, not guaranteed availability for every account. Any project must first establish which capabilities the business can actually access.
Start with where the enquiry should go
Before selecting an agent, ask a simple question: what should happen after a useful conversation? Depending on the business, the next step may be an appointment, a documented quotation request, a showroom visit or a discussion with an adviser.
That destination determines which information is needed. Asking ten questions when someone only wants opening hours creates unnecessary friction. Conversely, forwarding “interested customer” without a product, a need or a way to follow up forces the sales team to start again.
Keep qualification lightweight
An initial conversation can establish the need, context, timing and preferred next step. Not every answer needs to be mandatory. The agent should know when to proceed with missing information and when to explain why a question matters.
It should also separate what the prospect actually said from what the model inferred. “Would like a call on Friday” can become a follow-up instruction. “Probably has a large budget” is not a customer fact to store as certainty.
Example: furnishing a room
In this illustrative scenario, someone asks whether a sofa comes in another colour. The agent checks the available catalogue, answers within the limits of verified information and offers to pass the request to the team.
If the person wants advice, the handover can include the model discussed, the requested colour and any constraints voluntarily shared. The agent must not invent stock availability or promise a delivery date to make the conversation more persuasive. When information is missing, the right next step is a check by someone who can confirm it.
Design a real human handover
A handover is more than displaying a phone number. Decide who receives the enquiry, where it arrives and how the team recognises an outstanding response. A colleague should be able to continue without making the prospect repeat everything.
The CRM can receive a structured summary and a next action. Contact matching helps prevent a fresh record being created for every message. Information collection should remain necessary and proportionate to the follow-up; a messaging channel is not a reason to build an unlimited personal profile.
Measure more than message volume
Track movement between meaningful stages: relevant conversations, adequately documented enquiries, appointments offered and contacts actually handled. A large volume of messages is not proof of value by itself. Look at drop-offs and at requests the agent correctly referred to a person.
Smart Wise Monkey’s WhatsApp and Instagram agent services can connect with a wider customer acquisition strategy. The objective is a complete journey, not an impressive but isolated chat.
Let’s map the journey from a first message to a conversation with your sales team.
